Few situations in field service are more frustrating than diagnosing a problem correctly and still leaving the job unfinished.
The technician knows what’s wrong.
The customer understands the issue.
The repair itself may not even be particularly difficult.
But the required part isn’t available.
At that point, I don’t consider the visit wasted.
What happens next determines whether the second visit feels like a continuation of the first one — or whether everyone has to start over.
I Separate Diagnosis From Completion
The first thing I do is record what actually happened.
The repair wasn’t completed, but useful work may still have been performed.
The technician may have:
- Confirmed the reported problem
- Inspected the equipment
- Identified the failed component
- Ruled out other causes
- Determined the required part
- Documented the condition of the unit
- Established what needs to happen next
That’s progress.
I don’t want it lost simply because the final repair couldn’t happen that day.
“Part Needed” Isn’t Enough
A vague note creates problems later.
If the job requires another visit, I want the next step to be specific.
Which part is required?
Is the identification confirmed?
Is quantity important?
Does anything else need to be brought?
Is additional equipment required for the repair?
The better the field information, the easier it is to prepare the follow-up.
I Don’t Schedule the Return Visit Too Early
There’s a temptation to give the customer another date immediately.
That can backfire.
If the required component hasn’t actually been secured, I may simply be creating another appointment that will need to move.
Before treating the return visit as ready, I want to understand the parts situation.
A calendar opening doesn’t mean the job is ready to be scheduled.
I Keep the Original Diagnosis Attached to the Story
When the technician returns, I don’t want the second visit to look like an unrelated service request.
The original diagnosis matters.

The second technician — even if it’s the same person — should be able to understand what happened previously.
I Prefer the Same Technician When It Makes Sense
There are obvious advantages.
The original technician has already seen the equipment.
They remember the environment.
They performed the diagnosis.
They may know small details that are difficult to capture in notes.
But I don’t treat this as an absolute rule.
If waiting for that technician creates a major delay and another qualified person can complete the repair with good documentation, reassignment may make more sense.
Continuity is valuable.
So is getting the work finished.
Good Notes Make Reassignment Possible
This is where documentation proves its value.
Imagine Technician A diagnoses the issue, but Technician B performs the final repair.
Technician B shouldn’t have to call Technician A and ask:
“So… what happened here?”
The service history should provide a useful starting point.
That’s one reason I care so much about field notes.
They’re not paperwork for paperwork’s sake.
They’re operational memory.
I Record the Equipment Condition
If the repair can’t be completed, I want clarity about how the equipment was left.
Is it still usable?
Is operation limited?
Should it remain out of service?
Was a temporary measure taken?
The customer and the next technician shouldn’t have different assumptions about the condition of the equipment.
I Set Customer Expectations Around the Actual Situation
“Technician needs a part” sounds simple.
For the customer, the important questions are different.
What happens now?
Is another visit required?
Can the equipment be used in the meantime?
What needs to happen before another appointment can be confirmed?
I try to communicate what is known without promising something that isn’t known yet.
I Watch for Parts That Cause Repeat Problems
One missing component is a normal operational issue.
The same type of missing component causing delays repeatedly is something else.
If technicians frequently diagnose the same failure but can’t complete the work because the necessary part isn’t available, I want to recognize that pattern.
Maybe inventory assumptions need another look.
Maybe certain equipment types deserve different preparation.
Maybe common failure patterns can inform future service planning.
Repeated exceptions can become useful operational information.
I Don’t Confuse “Ordered” With “Ready”
This distinction has saved me from unnecessary scheduling problems.
A part being requested doesn’t mean it is physically available for the job.
A part being shipped doesn’t mean it has arrived.
A part arriving doesn’t necessarily mean every other requirement for the service visit is ready.
I want the follow-up job scheduled based on reality, not optimism.
I Prepare the Second Visit Like a Completion Job
A return visit should have a very clear purpose.
The technician isn’t going there to rediscover why the equipment failed.
Ideally, the job is:
Return with confirmed component and complete previously diagnosed repair.
That clarity changes the visit.
The technician knows the objective before arriving.
I Check Whether Anything Changed While We Waited
Sometimes several days pass before the part is available.
The equipment condition may change during that time.
The customer may report a new symptom.
The unit may stop operating entirely.
Before the follow-up, I check whether the original diagnosis still represents the current situation.
I don’t want to assume the property or equipment has remained frozen in time.
I Keep One Continuous Service Story
This is probably the biggest principle I follow.
First visit:
Problem investigated.
Then:
Required component identified.
Then:
Part becomes available.
Then:
Follow-up scheduled.
Then:
Repair completed.
Those aren’t five unrelated events.
They’re one service story.

My Parts-Delay Checklist
When a repair can’t be completed because of a part, I want to know:

✅ Which component is required?
✅ Is the identification confirmed?
✅ What work was already completed?
✅ What condition was the equipment left in?
✅ Does the customer understand the next step?
✅ Is the part actually available before the return visit?
✅ Does the follow-up require a particular technician or skill?
✅ Has anything changed since the first visit?
Mistakes I Try to Avoid
❌ Treating the first visit as a failure with no useful outcome.
❌ Writing only “part needed.”
❌ Scheduling another appointment before the component is ready.
❌ Making the next technician repeat the original diagnosis unnecessarily.
❌ Losing the connection between the first and second visits.
❌ Assuming an ordered component is already available.
❌ Forgetting to document the equipment’s condition.
❌ Promising the customer a completion date before I can support it.
A Second Visit Shouldn’t Feel Like Starting Over
Parts delays will happen.
No field service operation can put every possible component in every technician’s vehicle.
The difference is what happens after the missing part is identified.
